Hong Kong Life Insurance Limited (the "Company") is committed to observing our obligations in relation to the collection, holding, processing and use of personal data under the Personal Data (Privacy) Ordinance (Chapter 486) (the "Ordinance"),. It is the Company's policy and priority to take all practical steps to ensure that personal data held by it is accurate, secure and to avoid unauthorised or accidental access, erasure or other use.
Except as specified below, the Company will not use or disclose your Personal Data except with your consent.
Kinds of personal data held by HKL
The kinds of personal data held by the Company include 1) the information of an insurance policy (e.g. contact details, demographic data, financial details, health history, identification numbers, employment details, etc.) supplied by the applicants or authorizing parties; 2) personal data provided to the Company for participating in promotional activities, or customer surveys, data matching records, research records, investigation records by any law, regulation or court order, etc.; and 3) records collected from our websites, such as the visitor's IP address, statistics of the number, duration, geographic location of the visitors to our websites. Information collected from our websites is in an aggregate and anonymous format and you are not required to provide personal information to use our websites, unless a feature requires it.
Purposes the Personal Data are Held
The Company may collect personal information from you for any of the following purposes:
1. processing and/or approving any application and/or additions, alterations, variations, cancellations, renewals and reinstatement, including establishing and maintaining a history or records in relation to the relevant insurance policy (the "Product");
2. providing all services related to any application in relation to the Product, including processing of claims under the Product, processing of any and all other requests, enquiries and complaints from you, promoting or improving such services or related services by the Company and its affiliated companies;
3. underwriting and/or evaluating the Product, any other existing policies and/or application for insurance;
4. communicating with you in relation to the purposes set out in the Personal Information Collection Statement ("PICS") and administrative purposes;
5. co-operating with any investigation and meeting any disclosure requirements requested by regulatory authorities or complying with Hong Kong or foreign laws;
6. transferring your Personal Data to any federation or similar organization of insurance companies ("Federation") and any members of the Federation to carry out its regulatory functions or such other functions that may be assigned to the Federation from time to time and are reasonably required in the interest of the insurance industry or any member(s) of the Federation;
7. statistical or actuarial research;
8. future processing of any claims;
9. for the purpose of a transfer or potential transfer of all or part of the business of the Company;
10. promotional or marketing purposes, including direct marketing, in relation to products and services of a similar nature offered by us and our affiliates (including insurance, banking and other financial products or services), and related products offered by our business partners. For this purpose, we may provide your personal information to third party providers of financial, insurance, medical/health, call centre, marketing or research services, rewards, loyalty or privileges program services and/or related services. Any such request should clearly state details of the Personal Data in respect of which the request is being made.

Unless otherwise stated, where we collect your Personal Data, we do so in order to provide our services to you and to improve your customer experience on our website. Failure to supply the Personal Data may result in the Company being unable to provide the Product and other products and services to you, process claims under insurance policies issued by the Company, or process any other applications, requests, enquiries, or complaints from you.
Collection and Use of Personal Data
In the course of collecting personal data, the Company will provide the individuals concerned with a PICS informing them of the purpose of collection, classes of persons to whom the data may be transferred, their rights to access and correct the data, and other relevant information.
Prior to collect and obtain any personal data from public domain, the Company will observe the original purposes of making the personal data available in the public domain (such as the purpose of establishing the public register in the enabling legislation) and the restrictions, if any, imposed by the original data users on further users.
In relation to the collection of personal data on-line, the following practices are adopted:

The Company will follow strict standards of security and confidentiality to protect any information provided to the Company online. Encryption technology is employed for sensitive data transmission on the Internet to protect individuals' privacy. - On-line Correction
Personal data provided to the Company through an on-line facility, once submitted, may not be readily deleted, corrected or updated on-line. If deletion, correction and updates are not allowed online, users should approach the relevant department of the Company. - On-line Retention
Personal data collected on-line will be transferred to relevant department of the Company for processing. Reasonable and practical steps will be taken to ensure that personal data will not be kept longer than necessary.

Retention of Personal Data
The Company shall keep your Personal Data for as long as necessary to achieve the purpose for which it was collected and to comply with legal requirements. If the Company no longer needs your Personal Data for any purpose, it will take reasonable steps to securely delete or destroy your Personal Data.
Security of Personal Data
The personal data and information provided to the Company are secured with restricted access by authorized personnel. Encryption technology is employed for sensitive data to protect the privacy of the Data Subjects, the Employees and the Users and Other Individuals during data transmission.

Data Access Requests and Data Correction Requests
It is the policy of the Company to comply with all data access and correction requests, for all staff to be familiar with the requirements for assisting individuals to make such requests, and to process such requests in accordance with the provisions of the Ordinance.
The Company may, subject to the Ordinance and the guidelines issued by the Office of the Privacy Commissioner for Personal Data, impose a fee or reimbursement for complying with a data access request ("DAR"). The Company is only allowed to charge a DAR requestor for the costs which are directly related to and necessary for complying with a DAR. If a person making a DAR requires an additional copy of the personal data that the Company has previously supplied pursuant to an earlier DAR, the Company may charge a fee to cover the full administrative and other costs incurred in supplying that additional copy.
